Three duties Olivet assigns to the coordinator

Olivet's program pages and its new-curriculum MSN/PG-APRN handbook name the SON Clinical Coordinator at three points in a graduate student's clinicals. Each has its own trigger, and none of them replaces your course faculty, who evaluate your outcomes.

Traditional BSN students on the Bourbonnais campus deal with a clinical coordinator too, in a different role: the Level 0 BSN handbook has that coordinator assigning students to clinical groups and sites. Everything below concerns the graduate role.

Placement help: coming prepared

For FNP students, the coordinator's search starts after 30 unsuccessful attempts of your own, and the site found may be outside your preferred location; the 30-attempt rule page covers that threshold and its open questions. PG-APRN and MSN NEL students are promised substantial help with no trigger named, so ask early how and when to request it.

Whatever your track, the coordinator can act faster with a full picture. Send it in one message:

  • Your track, your curriculum and the exact course, such as NRSG 637C or NRSG 620, with its start date
  • Your home city and the state where the hours will happen
  • A dated log of every preceptor and site you contacted, with each outcome
  • How far you can realistically travel on a clinical day
  • Where your compliance items stand in QualifiedFirst or CastleBranch

The travel radius matters most. The coordinator works from the school's networks, which may not include a site in your town, so saying up front how far you can go avoids an offer you would have to turn down.

Audits and repeated clinical hours

The coordinator also shapes what happens when a clinical course is audited. Olivet's new-curriculum handbook says a student who fails a population-focused didactic or clinical course retakes it and audits the paired course. When FNP or PG-APRN students audit a course, they can be required to redo as much as 50% of that course's clinical hours, with the SON Clinical Coordinator and the FNP Program Director deciding how many.

A second trigger reaches students who pause: a clinical course completed over two years before you finish the program can be subject to audit. A long gap between clinical courses therefore carries a risk of repeated hours, and the coordinator's direction sets how many.

Repeated hours still need an approved preceptor and a site, so an audit can reopen parts of the placement process just as you thought it was behind you. The grades and progression page covers the grading rules that lead to an audit.

License changes and what reaches your site

Every Olivet graduate clinical rests on a current, unencumbered RN license. If your license becomes encumbered during the program, the handbook requires you to tell the SON Clinical Coordinator, and the coordinator then informs your practicum site. Olivet routes that notice through the coordinator, so the first message goes to Olivet.

Report promptly, and if you are unsure whether a board action counts, ask the coordinator rather than guessing. The site relies on Olivet for this information, and your placement depends on the site's confidence in both of you. The RN license page covers the license rule in full, including where you train.

An encumbered RN license is reported to the SON Clinical Coordinator first, who passes it to your site. Do not wait for your next course to raise it.

Questions that belong to someone else

The coordinator is one of several Olivet roles in a practicum, and sending a question to the right one saves days. Olivet names these alongside the coordinator:

  • FNP/PG-APRN Program Director and MSN Program Director: withdrawals, drug-screen outcomes, exam changes and policy appeals
  • MSN/PG-APRN Program Support Coordinator, through GraduateNursing@olivet.edu
  • FNPpracticum@olivet.edu, which Olivet's FNP disclosure file names for out-of-state and Kansas questions
  • Online Advising Team, at onlineadvising@olivet.edu: address changes and leaves of absence
  • Your course faculty: what the course expects and how your clinical work is evaluated

For out-of-state FNP questions, the disclosure file names FNPpracticum@olivet.edu while both MSN handbooks point to GraduateNursing@olivet.edu, so copying both is sensible. The who does what page maps every role and mailbox, and if a question climbs Olivet's academic chain of command, it ends with the School of Nursing's Associate Dean.

Working well with the coordinator

Write short, specific messages and keep them in writing. Put your track, course and start date in the first line, say what you need, and attach your contact log when the question is about placement. When the coordinator tells you how attempts are counted or which rule applies to your track, save that reply; Olivet's published wording differs between program pages, and a written answer settles the point for you.

Respond quickly when the coordinator offers a site, because an opening may not wait. If the location is hard for you, say so at once and explain why rather than letting the offer lapse. And keep searching on your own while you wait, unless the coordinator tells you otherwise; a lead you find yourself is still welcome news.

How do I contact Olivet's SON Clinical Coordinator?

Olivet's public pages do not list a separate mailbox for the coordinator. Use the route your Canvas requirements course and handbook give, and for general graduate questions write to the Program Support Coordinator at GraduateNursing@olivet.edu and ask that your note reach the coordinator. FNP students with state questions can also use FNPpracticum@olivet.edu, the address Olivet's disclosure file names.

Is the SON Clinical Coordinator the person who approves my preceptor?

Olivet's pages say Olivet approves the preceptor you select, but they do not name the role that signs off. Your Canvas requirements course covers the approval route, form and timing. If the course leaves it unclear, ask the coordinator or your course faculty who reviews submissions for your track.

Does the coordinator visit my clinical site?

Faculty site visits are not described on Olivet's public pages. What the handbook does say is that faculty may ask your preceptor for input and that faculty are responsible for evaluating your outcomes. If your site expects contact from Olivet during the course, ask your course faculty how that is handled.

Who should my preceptor contact at Olivet with questions?

Start with the role that matches the question. For course expectations and evaluation input, your course faculty are the natural first point, and site or license matters run through the SON Clinical Coordinator. Does the coordinator help RN-BSN students find preceptors?

The legacy RN-BSN handbook, for students whose core courses began before August 2026, says students obtain their own preceptor and agency, with paperwork sent to bsnpracticum@olivet.edu.
