Need a preceptor fast for an Olivet clinical course

When an Olivet Nazarene University clinical course is a few weeks out and nobody has agreed to precept you, the calendar matters more than the contact list. A willing preceptor is only the first piece: Olivet has to approve them, your compliance file must be finished before you set foot on site, and the drug screen keeps a window of its own. Count back from the start date and the order of jobs becomes clear.

The countdown from your start date

Olivet fixes some timings in its handbooks and leaves others to your requirements course. The table lines up the ones it publishes, counting back from the first day of a graduate clinical course.

The parts that will not compress

Two clocks sit outside your hands. The first is Olivet's approval. Olivet does not publish how long a review takes, so the safe plan is to send a complete preceptor file the moment someone agrees, leaving nothing for a reviewer to chase. The preceptor approval page lists what to have ready.

The second is the site. Large systems move on institutional calendars: Northwestern Medicine's north and northwest region looks at APRN student requests once a month and asks for 4 to 8 weeks, and Riverside Healthcare allows at least 90 days when a new affiliation agreement is needed. On a short runway, ask every prospective preceptor on the first call whether their site can take a student inside your dates.

The third clock, compliance, is the one you control, and it can start today.

Compliance items that eat the most time

Much of Olivet's list takes a day or two. A few items have waits built in, so start those first and use the full compliance list for the rest.

Titers. Olivet asks for titers that prove immunity to measles, mumps and rubella, to varicella and to hepatitis B. A titer that comes back negative leads to a booster and then a second titer, adding weeks.
TB. A 2-step skin test needs two visits; a QuantiFERON Gold or T-SPOT blood test is one draw. The result must be negative and inside the year.
BLS. The AHA card has to come from an in-person class and stay valid through the whole practicum. Classes fill up, so book one now if your card would lapse mid-course.
The drug screen. Test too early and you fall outside the window; too late and the result may not clear in time. Set the date as soon as the start date is firm, and see the drug screen page for the detail.
Uploads. Olivet's handbook asks that each upload show who you are, what the result was and when it was done. New-curriculum students upload to Verified Credentials QualifiedFirst; current-curriculum students use CastleBranch.

If the course opens before you are placed

A late preceptor does not move the course dates. Olivet's online week opens at 12:01 a.m. Monday and closes at 11:59 p.m. Sunday, Central time, with nothing accepted after Day 7 of the final week, so each day without a preceptor raises the hours you owe per remaining day.

Talk to your course faculty in week 1, not week 6. Options narrow as a course goes on: an Incomplete needs serious illness or a delay near the end of the course that you could not avoid, and the X grade's extra eight weeks exist only for the NEL practicum, NRSG 620. If this session truly cannot work, a leave of absence moves you to the next one; file the Return Form at least two weeks ahead of that clinical course. What to have ready for a preceptor's first call

Speed comes from answering a preceptor's questions before they ask. Keep these in one short note you can paste into an email or read out on the phone:

The course number, title and hour total, for example NRSG 638C Pediatric Primary Care Clinical, 135 hours
The first and last course dates and the days each week you can be on site
Your RN license state, and whether your compliance is finished or when it will be
What Olivet's approval asks of the preceptor, copied from your requirements course
How the work is recorded: Project Concert for your documentation, with faculty evaluating your outcomes and perhaps asking the preceptor for input

A preceptor who can see the whole commitment in one read decides faster, and a busy one who has to decline is more likely to name a colleague who can take you.

How long does Olivet take to approve a preceptor?

Olivet does not publish an approval time or the name of the graduate approval form; both sit in your track's Canvas requirements course. Because the wait is unknown, submit a complete file as soon as a preceptor agrees, and ask the SON Clinical Coordinator what lead time to expect for your course.

When should I take the drug screen before an Olivet clinical?

Olivet's MSN handbook wants the result cleared no fewer than two and no more than four weeks ahead of the practicum, and the panel covers THC. Book it once your start date is certain. If the start moves, for example after a leave of absence, the window moves with it, so an old result may not count.

Is two weeks before the course too late to find a preceptor?

It is tight rather than hopeless. The drug screen is supposed to clear at least two weeks ahead, compliance must be complete by the first clinical day, and Olivet must approve the preceptor first. Tell your course faculty now, keep compliance moving, and send us your course and dates so matching and paperwork run together.

Can I use a preceptor at my own workplace to save time?

Olivet's graduate handbooks do not say whether FNP or NEL students may train at their employer. The pre-August 2026 RN-BSN handbook allows NRSG 467 hours at the workplace, but not during scheduled work hours. Ask the SON Clinical Coordinator before relying on it; working where you work has more.

What if my site uses MyClinicalExchange?

Some sites onboard students through MyClinicalExchange, and Olivet's fee sheet lists its platform charge as site-dependent. Registration and any site requirements must be done before your first day, so ask on the very first call whether the site uses it and how long its onboarding usually runs.
