Olivet background checks: consent, vendor and what sites are told
Olivet Nazarene University asks for your consent to a criminal background check at admission, then runs the check through the compliance vendor your handbook names. If a result is flagged, Olivet tells the clinical sites and each site decides whether to accept you. Here is how that works in each program, and how to plan if you expect a flag.

Consent comes with admission
The program pages for the MSN Family Nurse Practitioner, the Post-Graduate APRN (FNP) certificate and the MSN Nursing Education & Leadership all list a signed consent to background and drug screening as an admission item, next to the unencumbered RN license. The graduate handbook repeats it as the opening step of the clinical process.
That consent is what allows Olivet to run the check and, later, to share a flagged result with a site. So by the time you ask anyone to precept you, you have already agreed to both. The check itself has to be finished before your first clinical or practicum day, like every other compliance item; the compliance overview lists the rest.
RN-BSN students meet the same requirement at a different point, after they have started coursework, and Traditional BSN students meet it on entry to the program. The table below sets out the timing for each.

The two MSN handbooks name different vendors for the same check. That is a conflict within Olivet's own documents, so follow your handbook version and ask your advisor if you are unsure which one governs you. The system guides are QualifiedFirst for the new curriculum and CastleBranch for the current one.
A flagged result: Olivet informs the site, the site decides
The MSN handbook's rule is brief. If a background check is flagged, Olivet informs the clinical sites, and each site makes its own decision. The Fall 2026 RN-BSN handbook gives the reason: Olivet is contractually obligated to report flagged checks to clinical sites, and the sites decide whether to accept the student.
Two things follow from that. The decision rests with the site, not with Olivet and not with a willing preceptor acting alone. And because every site decides for itself, one site's answer is only that site's answer.
What a site weighs, and whether a given record will be accepted, is the site's own policy. Olivet does not publish a list of results that rule a student out, so the site is the place to ask, and the earlier the better.

Planning ahead if you expect a flag
- Know what your record showsIf something may appear, find out exactly what it is before the check runs, so nothing on the report surprises you.
- Talk to your Program Director earlyThe Program Directors handle withdrawals, drug-screen outcomes and policy appeals in the graduate programs. Raise it well before your first clinical course.
- Start the site search soonerBecause each site decides, you may need more than one candidate site. An early start leaves room for a second or third conversation.
- Ask the site the direct questionBefore you put time into onboarding, ask the site's contact whether the result affects acceptance.
- Keep your license question separateA flagged check and an encumbered license are different matters. If your RN license is ever encumbered, you must tell the SON Clinical Coordinator; the license page explains the rule.
Renewals and how long a check lasts
For new RN-BSN students, a cleared background check and drug screen cover all clinical hours for one year. Traditional BSN students repeat the check every year. For graduate students, Olivet's fee sheet lists a first-year clinical compliance package that includes the background check, followed by a yearly renewal, and your requirements course spells out what that renewal repeats.
Olivet's FNP clinicals run back to back for long enough to pass a renewal date, so put that date on the same calendar as your course starts. Sites may also require more than Olivet does, and their onboarding can include steps of their own; if you are unsure whether a site runs an additional check, ask its contact when the preceptor agrees.
The drug screen travels alongside the check but keeps its own clock, tied to the weeks just before the practicum. The drug screen page covers that timing.

Does Olivet run its own background check?
Olivet's handbooks place the check with a compliance vendor. The New Curriculum MSN/PG-APRN handbook names Verified Credentials QualifiedFirst, the Current Curriculum handbook names CastleBranch, and new RN-BSN students use QualifiedFirst and pay it directly. Follow the vendor your own handbook version names.
Will a clinical site see my background check?
If the result is flagged, yes, in the sense that Olivet informs the clinical sites. The RN-BSN handbook says Olivet is contractually obligated to report flagged checks, and each site then decides whether to accept the student. A clear result simply completes that item in your compliance record.
If one site declines me, is that final for my whole program?
The handbook gives the decision to each site, so a decline is that one site's decision. Talk with your Program Director and the SON Clinical Coordinator about next steps, and look at other sites in your area and inside Olivet's approved states. Starting the search early leaves room for that.
Do Nursing Education & Leadership students need a background check?
Yes. The MSN Nursing Education & Leadership page lists the same background and drug screening consent as the FNP, and the new handbook's compliance list covers NEL tracks. The check must be complete before your first practicum, and sites for NRSG 604 and NRSG 620 make their own decisions on a flagged result.
Do I need a new background check for each clinical course?
Olivet's graduate materials describe a first-year compliance package that includes the background check and a yearly renewal, rather than a check per course. Your requirements course sets exactly what each renewal repeats, and a site may add its own onboarding steps, so ask each new site what it requires.
